Email/SMS Reminders

With OrgScheduler, you can use e-mail or SMS to send appointments, reminders and invitations to colleagues, friends and family members. To send email messages in OrgScheduler, you must have access to a computer running an SMTP (Simple Mail Transfer Protocol) server. Your outgoing messages are sent to the SMTP server, which delivers them to your recipients. The address may be represented as a traditional Internet host name (e.g. mail.company.com) or as an IP numeric address.

You will need to supply the following items in the "Email Reminder Options" modal dialog:

Email Reminder Options

  • "Enable Email Reminders" - a Email Remider to be executed when the reminder fires for mail transmission that is used on the Internet.
  • "SMTP mail server:" - The name or address of a mail server (mail relay). Usually, the address of an SMTP server is provided to you by your system administrator or Internet Service Provider.
  • "Port" - The server port for SMTP (default 25).
  • "From" - The email address of the sender (required).
  • "This outgoing mail server requires authentication:" Most SMTP servers require authentication based on either the IP address of the sender, the username/password or email address. If the your mail server allows a secure authentication mechanism, you can configure it:
  • "User:" , "Password:" and "From".
  • "User:" - A user name to login as in the mail server for access to your mailbox. Usually, it is the same as the part of the account's e-mail address before the "@" symbol.
  • "Password:" - A password to login with in the mail server.
  • "From" - The email address of the sender (required).

To schedule a new event (with email reminder) an you need to double-click any time slot or invoke the pop-up menu and select the New Event item:

The Event modal dialog then appears to describe the user event in detail:

Event Model

Use it to send emails with file attachments. You can invoke the Windows Address Book using the WAB button . WAB dialog displays a modal Windows dialog box for selecting recipients. When the user selects a recipients and clicks OK, the dialog closes and the selected recipients is stored in the "To", "Cc" and "Bcc" collections.

  • "To" - A comma separated list of addresses for destinations (required). The "To" collection specifies a comma separated list of destinations for the mail message. A copy of the message is sent to each of them. Examples of valid addresses are: address@company.com
  • "Cc" - A comma separated list of addresses for carbon copies (optional). The "Cc" collection specifies a comma separated list of destinations for carbon copies of the mail message. A copy of the message is sent to each destination, and a Cc header is created containing the destination addresses. This header is sent to every recipient of the message. If you don't want to copy this information to every recipient, then use blind carbon copies instead (see the description of the "Bcc").
  • "Bcc" - A comma separated list of addresses for blind carbon copies (optional). The "Bcc" collection specifies a comma separated list of destinations for blind carbon copies of the mail message. A copy of the message is sent to each destination, but no Bcc header is created containing the destination addresses, so individual recipients never see the list of the other recipients.
  • "Subject" - The subject of the mail message (optional).
  • "Attachments:" - The paths of files to attach to the message. Set the path of a file on your system that you would like to send as an attachment with your message. The OrgScheduler will open the file and encode its contents in MIME format.

SMS Reminders

Using the OrgScheduler and Short Message Service you can send short text messages to mobile phones. You can send messages to a recipients by e-mail: just type e-mail address like XXXXXXXXXXX@sms.operator.com where XXXXXXXXXXX - number you want to call to, а sms.operator.com - the address of a special operator gateway (very often coincides with the operator site). This information is usually available at the operator's site.

If you are experiencing any problems sending your mail, the first general rule is to have a look at the "Info messages:" panel. By examining the log messages, you can turn usually up some possible reasons for the failure.
